Data handling during the pilot

How to use VetCaseIQ responsibly while it's in pilot testing — and an honest view of what our data practices do and don't cover today.

This page is informational and not legal advice. Your clinic is responsible for deciding what information is appropriate to enter and for meeting any obligations that apply to you.

Recommended use during the pilot

  • Use de-identified case information whenever possible.
  • Remove client names, phone numbers, addresses, and payment details.
  • Use patient initials or generic labels if a reference is needed.
  • Enter only the clinical information you need for the case review.

Data responsibility

Veterinary teams are responsible for deciding what information is appropriate to enter into VetCaseIQ. The tool organizes what it's given; it does not decide what is or isn't appropriate to include.

What to avoid uploading

  • Client personal information (names, contact details, addresses)
  • Payment or billing information
  • Unnecessary owner identifiers
  • Sensitive non-medical notes unrelated to the case review

Security posture

VetCaseIQ is continuing to improve its security and data handling practices as the pilot progresses. This product is an early-stage MVP for evaluation by veterinary professionals.

We do not claim HIPAA or any formal compliance certification. Do not treat VetCaseIQ as configured for regulated medical-record storage unless that has been explicitly configured and reviewed for your deployment.

Where we're headed

As the product matures, planned areas of improvement include:

  • Account controls
  • Data retention settings
  • Audit and history improvements
  • Clinic-level permissions
